Privacy Policy

This Privacy Policy describes how IHB SYSTEMS INC. (“IHB,” “we,” “us,” or “our”) handles information in connection with our private internal application IHB Accounting API (the “App”). The App connects to our own QuickBooks Online (Canada) company file through Intuit’s API to assist with our internal bookkeeping.

The App is not a public marketplace app and is not sold or licensed to third parties.

This policy covers information accessed or processed through the App’s connection to QuickBooks Online via Intuit’s developer platform, and related operational records we keep for that integration.

It does not replace Intuit’s own privacy practices for QuickBooks Online or Intuit accounts. Intuit and QuickBooks Online act as the platform and service providers for the accounting data stored in QuickBooks Online. Please also review Intuit’s privacy policy and terms for QuickBooks Online.

Through Intuit’s API, the App may access accounting and related business data from our QuickBooks Online (Canada) company, which can include:

• Company and account information
• Customers, vendors, and related contact details
• Invoices, bills, payments, estimates, and other transactional records
• Chart of accounts, journal entries, and financial reports data
• Products, services, and inventory-related records (if used)
• Employees or contractors information only to the extent it appears in our QuickBooks Online company data and is needed for bookkeeping

The App is used for our own company. We do not operate the App as a product for other businesses’ QuickBooks Online companies.

We use the information solely for internal business purposes, including:

• Bookkeeping assistance and accounting workflows
• Reconciling transactions and maintaining accurate financial records
• Generating internal reports and supporting day-to-day finance operations
• Maintaining and troubleshooting the App’s connection to QuickBooks Online

We do not use QuickBooks Online data accessed through the App for advertising or for sale to third parties.

We do not sell personal information.

We may share or disclose information only as needed to:

• Intuit / QuickBooks Online — as the platform that stores and processes QuickBooks Online data and through which the App connects via Intuit’s API
• Service providers we engage to host, secure, or support our systems, under obligations to protect the information and use it only for services they provide to us
• Professional advisors (for example, accountants or legal counsel) when needed for our business
• Authorities or legal process when required by applicable law, or to protect our rights, property, or safety

We retain information only as long as needed for the purposes described above, for legal, accounting, tax, and audit requirements, and for resolving disputes or enforcing our agreements. When information is no longer required, we take reasonable steps to delete or de-identify it, subject to backups and legal holds.

QuickBooks Online data continues to be retained by Intuit according to Intuit’s policies and our QuickBooks Online subscription, independent of this App.

We use reasonable administrative, technical, and organizational measures appropriate to the nature of the information and the risks involved to protect it against unauthorized access, use, disclosure, alteration, or destruction. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Access to the App and related credentials is limited to authorized personnel who need it for their work.

Depending on applicable Canadian privacy law (including PIPEDA and, where it applies, British Columbia’s Personal Information Protection Act), individuals may have the right to:

• Request access to personal information we hold about them
• Request correction of inaccurate or incomplete personal information
• Withdraw consent where consent is the basis for processing (subject to legal or contractual restrictions and reasonable notice)
• Make a complaint about our handling of personal information

To make a request, contact us at accounting@ihbsystems.com. We may need to verify your identity before responding. We will respond within a reasonable time as required by law.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, where applicable, the Office of the Information and Privacy Commissioner for British Columbia.

Because much of the data in QuickBooks Online is controlled through our Intuit account and Intuit’s systems, some requests may also need to be addressed through QuickBooks Online / Intuit tools or Intuit’s processes.

The App is for internal business use only and is not directed at children.

Intuit and other service providers may process information in Canada, the United States, or other countries. When information is processed outside Canada, it may be subject to the laws of those jurisdictions, including lawful access by foreign authorities.

We may update this Privacy Policy from time to time. The effective date at the top will be revised when we post changes. Continued use of the App after an update constitutes awareness of the revised policy for our internal users.
